Five Ways to Strengthen Your Video Conferencing Security

In the past few weeks, many organizations have moved to online applications for internal meetings and video conferencing with clients. Some companies are new to the remote meeting process and some are seasoned veterans. Those that are new learn very quickly that these platforms offer many strengths, including access for remote employees, more flexibility, greater efficiency, and savings of both time and money.

While these benefits are great for improving productivity, they also present some security challenges that must be considered, including the potential for an unauthorized individual to hijack the teleconference. As an organization that places a heavy emphasis on cyber security, Miles IT wants to pass along the FBI’s recommendations on best practices for video conferencing to prevent cyber crimes.

  • Do not make meetings public. Most online meeting platforms have options to make a meeting private, such as requiring a meeting password or using the waiting room feature to control the admittance of guests.
  • Do not share a link to a teleconference on an unrestricted publicly available social media post. Provide the link directly to specific people.
• Manage screen sharing options. Change screen sharing to “Host-Only.”
  • Ensure users are using the updated version of remote access/meeting applications. Some teleconference software providers have added passwords by default for meetings and disabled the ability to randomly scan for meetings to join.
  • Ensure that your organization’s telework policy or guide addresses requirements for physical and information security.

In addition, Zoom, a popular web-based video conferencing company, has provided training resources and best practices for remote working and hosting virtual events.

Companies are fortunate to have such excellent remote work and meeting solutions available during a difficult time. As you continue to use and adapt to these platforms, remember you have a partner in Miles IT who is here to assist with both the execution and security of your chosen video conferencing and remote work applications.
